4 Purpose and grounds of processing personal data

The purpose of processing personal data is the recruitment of staff for HBH. The processing of data is based on HBH’s justified interest, such as the job-seeker’s application and recruitment process and on the job-seeker’s consent for person and aptitude tests.

5 Personal data storage times

For open applications, the job-seeker’s personal data are stored for one month from the submission of the application, and in the case of applications for a specific task for two years from the conclusion of the recruitment.

6 Content of the data file and group of data subjects

The data file includes the following personal data of the job-seeker necessary for the recruitment process and task:

  • name, date of birth, contact information (telephone number, e-mail address, postal address)
  • data related to the job application and CV, such as work experience, educational information, expertise, official posts
  • data related to the interview and tests
  • possible other data provided by the job-seeker

7 Regular sources of data

The primary source of the data in the data file is the job-seeker. The data also consist of data recorded in the recruitment process. Other sources of data are used within the limits provided in law.

8 Transfer of data outside the EU or the European Economic Area and regular disclosure of data

As a rule, personal data are not disclosed to third parties.

HBH uses an external service provider in recruitment and personal assessments.  In addition, HBH uses an external service provider for the administration of the job-seekers’ personal data (Podio). The service providers process job-seekers’ personal data only to the extent required to provide the assignment in question.

9 Data file protection principles

Manual material is kept in a locked storage space. There is access control on HBH’s premises. Data in electronic form are kept in data systems where both technical and programmatic means are used to ensure information security and to supervise data use. The data file’s user right is limited to specific persons within the scope required by their tasks. All persons using the data in the data file are bound by the obligation to observe secrecy.

10 The data subject’s rights

The data subject has the legal right of access to their data recorded in the personal data file and the right to request rectification of incorrect data. Requests concerning the matter must be submitted personally or in writing using the contact details stated in Section 2.

The data subject has the right to cancel their consent for person and aptitude testing at any time.

According to the General Data Protection Regulation, the data subject has the right to object or restrict the processing of personal data and to file a complaint about the processing of personal data to a data protection authority.
